Adding a limited extension
1.Go to RingCentral Admin
2.Phone System
3.Groups
4.Limited Extensions
5. Click on “+ New Limited Extension”
6. Enter the following in boxes:
Qty: 1
State/Province: Illinois
Area Code: 630 - Glen Ellyn
Number Option: Number Inventory
Site: Choose your school
Device: Choose “Select a Device…” This will open a new window.
Click on the “Other Phones” tab and select “Existing Phone.”
Make sure quantity is 1 and it says “Free” then click “Select”
Confirm that all the data you have entered is correct and then click “Add”
Check the box to acknowledge.

Done
Locate the Unassigned Limited Extension Phone and select
The following menu will appear
To determine an available extension, go to Phone System, Number Inventory, and search for a 534 number
Enter the last four digits of your chosen number into “Extension number”
Enter the desired name for “Extension name”
Confirm “Site” is accurate
Enter your alias in “extension email” (ex: wrobertsrc@d41.org)
Select “Add” for “Emergency response location”
Search for relevant location by clicking the dropdown. If location does not exist, then click “New”
Leave “Location type” as “Company”
For “Nickname,” enter school initials + location (ex: CH Gym Hall)
Choose relevant school for “Site”
Click “Edit” for Emergency Address
Select dropdown for “Copy Address Values from” and select relevant school’s address
Most of the fields should be filled in now. For “Additional address (optional), enter location description (ex: Gym Hall)
Click “Done”
Click “Add”
Confirm that the relevant address is selected. If not, click the dropdown and search for/select it.
Click Done
Confirm all data is accurate, then click “Save and Enable”
You should receive a confirmation message
You should have received an email with a link to activate your account. Click that link.
You will be asked to set your password, PIN, and security question. These should never be needed, so you do not need to mark down any of this information.
After filling everything out, click “Activate my account.” After it finishes loading, you can close out of this RingCentral tab and return to the original one. Refresh the page and log back in if you’ve been logged out.
Return to Phone System>Groups>Limited Extensions
Select the “Limited Extension Details” dropdown. Change the email from your own email to a non-existent one that follows the format “admin+”[school initials][location]@d41.org. In this case, we can use the email “admin+chhall@d41.org”. After making the change, click “Save.”
Click on the “Devices & Numbers” dropdown.
Make sure the “Phone” tab is selected. Click the the “Edit” option for “Existing Phone.”
On the subsequent page, select “Set Up and Provision.”
You will now have to search for the model of phone that will be used. Click the search bar and begin typing the name (most likely “Yealink T33G Gigabit Business Phone”). Once you locate the model, select it and then click “Next.”
On the next page, enter the MAC address of the specific phone you’ll be using. After doing so, click “Next.”

Rename existing phone to something that will stand out
Find newly created “existing phone” in devices
Select it and choose “change phone”
Change to phone in inventory, enter MAC to select phone
Restart phone and it should now be set up
